Vendor Information

Welcome to our vendor information page. We hope you find the information you need and see the benefit to your company in supporting an event of this type in the central United States. Last year was the third year for this event and we had over 440 vehicles and 950+ people in attendance from 17 states! We are planning for over 550 vehicles for this year's event and anticipate that it will grow to be one of the premier events of this type in the central US. This event will be held at Byrd's Adventure Camp on October 16-18 2020. All vendors donating product or gift certificates to this event will be featured on our Vendor Spotlight page for a minimum of six months, in order by donation amount. Check out our Vendor Sponsor Levels for other benefits associated with your donation.

  • The vendor registration fee is $50

  • Vendor booth space is allotted based on the value of the product/gift certificates that are donated as door-prizes for the event. For every dollar value of product donated you will get credit for one square foot of booth space (up to a max of 1200 sq ft). So if you donate $100 worth of product you will get 100 sq ft of booth space free, if you donate $600 worth of product you will get up to 600 sq. ft. of booth space free, and so on. If you need additional square footage, it will be priced at $1.00 per sq. ft. We hope this will encourage donations to be used as door-prizes at the event, while keeping booth space free or reasonably priced.

  • A limited number of vendor spaces are available with electricity. Vendors requiring an electric hook up will be charged a $25 fee for the hookup and will be available on a first come first serve basis.

  • Vendors will need to complete a Vendor Registration Form only and are not required to complete a event registration form.

  • Please let us know if you plan any type of product demonstration.

  • Each vendor attending the event will be required to donate at least one door-prize item valued at $100 or more.

  • Vendors will draw their winning ticket and present their door-prize item to the winner during the scheduled event giveaway times.

  • Pictures will be posted on the Natural State Overland facebook page of each vendor with the winner of their door-prize item.

  • Vendors/Exhibitors will be responsible for their own lodging at the event. Those that choose to camp at their booth will still be charged for camping. If you choose to camp at Byrd's Adventure Camp you will need to pay Byrd's for camping (even if you are camping at your booth). If you choose not to stay at Byrd's for your lodging/camping Byrd's will require you to purchase a day use pass. Day use passes are approximately $5/day/person over 11 years of age.

  • Vendor is responsible for providing all booth related equipment such as canopy, table, chairs, and banners.

  • Vendor agrees to have their booth set up and ready for visitors before noon on Friday, October 16th, 2020 and that booth will not be taken down before noon on Sunday, October 18th, 2020 unless special permission has been obtained from Natural State Overland LLC

  • For those vendors that are not able to attend Rendezvous in the Ozarks but want to show your support for the overlanding community we would welcome a donation of product or gift certificate to be showcased as part of our door-prize giveaway, to be held during our scheduled event giveaway times. We have set a minimum donation value of $100 so that everyone attending the event will have a chance to win something substantial.

  • If you would like to sponsor an award instead of or in addition to donating door-prizes we will also be awarding various attendees for things like best vehicle builds, best trailer builds, best volunteer presentations, best campfire story, and a few others, or you can choose the award you would like presented on your behalf.

  • If you would prefer to make a cash donation of any amount we are also looking for sponsors for things like food trucks, entertainment, or free firewood for our campers.

  • Those sponsors that would like one of their company banners displayed at the event are welcome to send us a banner for that purpose. If you would like the banner returned we will be glad to ship it back to you after the event.

  • Those that register for one of the three day options will receive 1 door-prize ticket for each night we have drawings. Additional tickets will not be available for purchase.
